How the E-Commerce Accounting Score Works

The E-Commerce Accounting Score turns an uncomfortable question into a number: how much of your accounting would survive a tax audit, a growth spurt, or simply one stressful quarter? The tool asks 26 questions — six unscored ones to understand your business model, twenty scored ones about your actual processes — and condenses the answers into an overall score from 0 to 100, five category results, a risk analysis and three prioritised actions.

How the score is calculated

Every scored question uses four answer levels that always follow the same pattern:

The twenty questions are spread across five categories: Data and integrations (max. 20 points), Payment reconciliation and fees (25), VAT and invoices (20), Accounting export and month-end close (20) and Traceability and scalability (15). Payment reconciliation carrying the most weight is no accident: payouts from Amazon, PayPal or Klarna are net bundles of sales, fees, refunds and withheld amounts — book them from the bank deposit alone and that is exactly where you lose control. The result also reports an improvement potential of "100 minus score". That is deliberately an indication only: it shows the distance to the ideal, not an exact time or cost saving.

Critical questions: a warning independent of the total

Seven questions count as critical — the completeness check (A3), payout reconciliation (B1), investigating differences (B5), VAT rate and tax country (C1), OSS separation (C2), a structured accounting import (D2) and the traceability of individual entries (E1). If even one of them is answered with 0 points, the result shows a red warning — even alongside an otherwise good total. The reason: these processes secure the completeness and traceability that German GoBD rules demand of any bookkeeping. An 82-point result without a completeness check is riskier than the number suggests.

What the profile questions do

The six profile questions (sales channels, payment providers, order volume, target countries, accounting system, tax adviser) never change the score — they personalise the evaluation. The country question is a good example: if you sell exclusively within Germany, the OSS question is never shown and is automatically awarded full points. For everyone else, clean OSS separation is decisive for VAT — the rules are covered in our guide to OSS and IOSS. And on order volume: the more orders you process, the more expensive every manual process step becomes.

After the test

The score is a structured self-assessment — it evaluates what you know about your processes and does not replace professional tax advice. Based on 20 questions, the score evaluates how reliable, traceable and scalable an e-commerce company’s accounting processes are — from importing data out of shops and marketplaces through payment reconciliation and VAT to exports, month-end close and traceability. Six additional profile questions provide context only and never affect the number.

Each of the 20 scored questions awards 0, 1, 3 or 5 points; the sum is your total out of a maximum of 100. The tool also calculates the percentage achieved in each of the five categories. The category with the lowest percentage determines the primary recommendation, and the three questions with the lowest individual values become your top-3 actions.

Seven questions concern processes whose absence is high-risk regardless of the overall result — such as the completeness check, payout reconciliation or correct OSS separation. If any of them is answered with 0 points, the warning appears even alongside an otherwise good score. It marks where to act first.

If your profile says you sell exclusively within Germany, separating cross-border EU sales is not relevant to you. The question is skipped and automatically awarded full points so that your result stays comparable.
