Why manual bookkeeping passes as "free"

Many online sellers treat manual bookkeeping as free, because no software invoice ever arrives for it. In reality the biggest costs are invisible: for every order, an invoice, a payout and a marketplace settlement have to be located, checked and matched. That time shows up in no P&L review — it quietly disappears into evenings, weekends and the calendar of whoever keeps the books.

This calculator puts a number on exactly that work. It takes three inputs — orders per month, minutes per order and your fully loaded hourly rate — and projects them linearly into working hours, monthly and yearly cost, and the number of full working days lost. One working day is counted as 8 hours.

At 2,000 monthly orders that is already more than 66 working hours — every single month. Multiplied by a realistic hourly rate it produces a five-figure yearly amount that appears neither in your P&L review nor in your pricing. At 5,000 orders it reaches 2,000 hours a year: roughly a full-time position dedicated to nothing but matching invoices. Because the model is linear, moving the rate from €25 to €50 doubles every figure in the last column.

How you read the number matters. It is not money you transfer to anyone — it is an opportunity cost. It answers what those hours would be worth if they went into range, sourcing or marketing instead.

What the calculator deliberately leaves out

The model is intentionally conservative and excludes several cost blocks:

  • Error correction: misallocated payouts, duplicated invoices, cancellations and refunds that surface later and have to be rebooked.
  • Tax advisor queries: every open item triggers an email loop — billable time on both sides.
  • Delayed month-end closes: booking weeks after the fact means deciding on stale numbers, with GoBD locking always done under time pressure.
  • Secondary work: maintaining the chart of accounts, building templates, covering holidays.

Fees and VAT are excluded too. Marketplace commissions and the VAT rate of the EU destination country belong in a margin view, not in a time calculation — that is what the Profit & VAT Simulator (OSS) is for. In practice, then, reality sits above the figure shown here rather than below it.

From a cost block to a decision

The useful question is not "how expensive is manual bookkeeping?" but "at what order volume does automation pay for itself?".
